What is the QB Import Done-For-You (DFY) service?

This is a fully managed migration service where we transfer your QuickBooks Desktop company file into Brass Jacks Bookkeeper (BJB) for you. We handle the technical extraction, conversion, and setup so your data is ready to use inside BJB.

What exactly gets imported?

Most core accounting data is included in the import, such as:

  • Company information
  • Chart of accounts
  • Customers, vendors, employees, and contractors
  • Bank accounts (up to 25)
  • Invoices, bills, checks, deposits, and payments
  • Journal entries
  • Items and services
  • Sales receipts (converted into journal entries)

What doesn’t get imported?

Some data must be recreated manually in BJB after the import:

  • Custom fields
  • Account numbers
  • Estimates
  • Inventory adjustments and inventory groups
  • Payroll detail inside individual paychecks
  • Credit card transactions (entered as a lump-sum journal entry)
  • Period closing entries
  • Classes assigned to transactions
  • Jobs on invoices (only the customer is saved)

Which QuickBooks versions are supported?

We support QuickBooks Desktop U.S. versions through 2024, including Pro, Premier, and Enterprise.

QuickBooks Online is not supported for this process.

How does the import process work?


Here’s what happens step-by-step:

  1. We create a new company file inside BJB
  2. A secure import environment is prepared
  3. You provide your QuickBooks Desktop backup file
  4. We connect QuickBooks and BJB using our proprietary QB Importer software
  5. Your data is extracted and imported into BJB
  6. We finalize your new BJB database and send it to you

Once complete, you simply open your new BJB file and begin reviewing your data.

How long will it take?

The process takes 5-7 business days.

What do I need to do before the import?

Before sending your file, make sure:

  • All bank accounts are fully reconciled to the latest statement
  • All credit card accounts are fully reconciled
  • You have your fiscal year-end date ready
  • You provide your QuickBooks backup file
  • You provide your QB password (if applicable)
  • Any locked prior periods are unlocked or password shared

What will I receive after the import?

You will receive a fully built Brass Jacks Bookkeeper company file containing your imported financial data. This becomes your working file going forward.

If you have multiple BJB companies, they must be handled separately and cannot be merged later.

What should I check after the import?

We recommend reviewing:

  • Trial Balance comparison (QuickBooks vs. BJB)
  • Chart of accounts structure (sub-accounts may need rebuilding)
  • Credit card balances (entered as journal entries)
  • Outstanding checks and deposits (may need manual marking)
  • Invoice numbering (original QB numbers are stored in a custom field)

Can I import from QuickBooks Online?

No. This import process only supports QuickBooks Desktop (U.S. versions).
